Contract Administrator

Balicore Construction, a subsidiary of The Miller Group, is currently seeking a Contract Administrator for our growing construction team, located in Virginia Beach, VA. This position is an excellent opportunity to provide administrative assistance in a fast-paced environment while developing new skills. The ideal candidate will be an organized, dependable individual able to work full-time.

 

Job Objective:

The Contract Administrator directs activities concerned with contracts for the construction department. The CA is responsible for preparing bid documents, and negotiating specifications for materials, equipment, or other construction services. The CA secures all necessary approvals and ensures that standard company procedures are followed and monitors compliance with contract requirements ensuring all conditions are satisfied before approval of the final invoice. The CA relies on instructions and pre-established guidelines to perform the functions of the job. The CA works under immediate supervision of the Administrative Services Manager and closely with the project managers/superintendents.

 

Job duties include, but are not limited to:

  • Research media and publications for project opportunities

  • Obtain bid documents, plans and specifications for project opportunities.

  • Prepare bid packages, including supplemental documents such as bid bonds, certificate of insurance, addenda, etc.

  • Attend pre-bid, pre-construction and progress meetings as required.

  • Prepare and maintain transmittals / submittals.

  • Become familiar with project specifications for contract administration requirements.

  • Prepare Prime Contracts / ensure contracts are fully executed.

  • Work with Project Manager and/or Superintendent with technical submittal issues

  • Prepare submittal logs based on project specifications.

  • Coordinate with Subcontractors, Vendors and Engineer’s administrator for completion of submittal for timely tracking and approval of submittals

  • Prepare and organize purchase orders and subcontract agreements.

  • Assist PM with inputting and maintaining project budgets and commitments in accounting software.

  • Obtain all required permits for projects.

  • Prepare, submit, and track project invoices and change orders.

  • Assist PM & Superintendents with final punch lists and closeout documents.

  • Perform clerical duties such as filing, making copies, typing correspondence for Senior Management, Division Manager, Estimator and Superintendents.

 

Preferred Qualifications:

  • Associates degree in business, architectural or construction management related fields.

  • Minimum of three years of related experience with a construction firm.

  • Knowledge of CMiC or Procore Construction Management software a plus.

  • Proficient in MS Office.
